Tips for Preventing Property Damage in Rentals

A well-kept home attracts careful tenants—and careful tenants keep homes well-kept. In Las Vegas, where heat, hard water, and HOAs add extra variables, prevention beats repair every time. Here’s the playbook we use to protect properties while keeping great resident relationships.

1) Set the tone on Day 0: Pride of ownership

  • Deliver it spotless and fully functional. Fresh caulk, working bulbs, clean vents, new air filter, touched-up paint, labelled breakers. When tenants see you care, they mirror it.

  • Fix small things before marketing. Loose door stops, wobbly towel bars, drippy faucets—these become damaged later if left undone.

2) Document everything (and share it)

As we always say: “If you can’t prove it, is like it never happened”. Create a Move-In Condition Report, and make the tenants sign it. 

  • Include wide shots and close-ups of everything. Save the photos/videos to a cloud folder and share the link with the tenant the day they receive keys.

  • Have them add their own notes within 72 hours, then both sides acknowledge receipt.

3) Onboard Tenants with expectations 

  • Prepare a Resident Handbook that includes: how to submit maintenance, emergency numbers, trash day, HOA rules, pool/landscape basics, and what counts as “urgent.”

  • Clarify the lease: Who replaces air filters and how often, pet care standards, picture-hanging policy, prohibited items, etc.

  • Renter’s insurance required. (if applicable)

4) Make good care easy

  • Filter program: Deliver filters quarterly or use a subscription—text reminders reduce A/C strain.

  • Leak defense: Install inexpensive water-leak sensors under sinks, behind the fridge, and near the water heater; tenants text you if they chirp.

  • Maintenance portal: One place for requests keeps issues small and documented.

5) Vegas-specific prevention

  • Educate on 24/7 fan “auto,” acceptable temperature bands, and how to rinse the outdoor condenser fins gently.

  • Help tenants set irrigation timers correctly; check drippers quarterly to avoid runoff (and HOA violations).

6) Move out without mayhem

  • Send the move-out checklist 30 days in advance with the original photo link.

  • Offer pre-close coaching: how to fill nail holes, clean glass/tracks, degrease oven, replace broken slats.

  • Perform the move-out report against the original baseline. Charge only beyond normal wear and tear; return deposit promptly with an itemized statement.

  3. Give a resident handbook + clear lease standards.
